Facility Administrator Job Description

The primary role of the Facility Administrator involves a unique set of responsibilities specific to the Muslim American Society, Community, and Youth Center (MCYC) congregation. The duties below highlight the diverse responsibilities that the Facility Administrator shall undertake to ensure the smooth functioning of the center and its positive impact on the community.

Facility Administrator Duties

  • Facility Management:

  • Oversee the day-to-day operations and maintenance of the facility.
  • Act as the primary point of contact for all outside vendors who service the facility.
  • Act as representative with contractors and inspectors coming to the facility.
  • Ensure the cleanliness and proper functioning of the prayer areas, classrooms, and other spaces.
  • Respond appropriately to emergencies or urgent issues as they arise and deal with the consequences, and respond to critical emergencies off-hours (e.g., fire alarm)
  • Responsible for keeping track of MCYC equipment inventory and managing their life cycle on an ongoing basis (TVs, computers, cameras, canopies, tables, etc.)
  • Ensure that MCYC has adequate supplies for its upcoming programs and community events and that the office and kitchen supplies are stocked.
  • Ensure that MCYC is functioning within the guidelines of the Laguna West Business Park Association (CC+Rs and bylaws
  • Create, maintain, and periodically change (quarterly) the list of the access codes for facility doors and document the list of individuals who have the new code for each code, along with why they need access.


  • Administrative Support:

  • Provide administrative assistance to the MCYC leadership and staff.
  • Handle correspondence, emails, and phone calls related to the MCYC’s activities.
  • Provide weekly updates and reports to the MCYC leadership.
  • Handle community inquiries and questions through phone and email
  • Establish and maintain procedures for record keeping (e.g., collecting receipts from program leaders for reimbursement and document incidents)
  • Prepare the Friday announcements list and provide it to the Khateeb to read.
  • Contact the Jumah Khateeb or an event speaker at least 24 hours before the event to confirm attendance.  


  • Event Coordination:

  • Organize and coordinate religious events, lectures, classes, and community activities.
  • Manage logistics for special events and celebrations.


  • Volunteer Coordination:

  • Recruit, train, and coordinate volunteers for various activities.
  • Maintain a volunteers’ list and schedule and ensure adequate event support.
  • Supervise the individuals performing community services and internships.   


  • Technology and Communication:

  • Utilize technology for communication and outreach.
  • Manage the center’s website and social media presence.
  • Monitor the info email and manage calendar reservations and schedules. 
  • Plan and coordinate the allocation and utilization of space and resources available in the facility (e.g., Sunday school, home school, Tabling, MQI, etc.) 
  • Respond to mail and distribute/delegate accordingly.

Minimum Qualifications

  • Some experience in performing the duties of an administrator or administrative work.
  • Excellent verbal and written communication skills and fluency in the English language.
  • The candidate must be a US citizen or Permanent Resident.
  • Excellent use of computers, including MS Office, Emails, office equipment, websites, newsletters, Canva, and social media. 

Administrative Duties 

  • The Facility Administrator reports regularly to the Operation Director of the MCYC Operation Committee.
  • This is an in-person job, and physical attendance is required. 
  • The Facility Administrator’s daily office hours are Monday to Friday (10 am to 2 pm) in office plus one remote hour.  (4 hours in the office and 1 hour remote).
  • Participate in the MCYC Operation Committee as needed.
